9 Healthy Habits of Highly Successful Event Planners

Hi, I'm Bari Baumgardner, founder of SAGE Event Management, and if you've been following my videos, you know we're in kind of an unusual locale today. I'm actually out with my husband, Blue, and our team at SAGE Event Management for a little bike ride on the Washington, D.C. Mall. So we're on our way to the Capitol and I thought I'd just take a minute to film a quick little video for you and talk to you about self-care especially when you have the lifestyle of an event planner.

How Does SAGE Handle Event Life and Self-Care?

So, here at SAGE, all the time we talk about something, #eventlife, and the reality is #eventlife is not for the faint of heart. So I wanted to talk to you today about what I think you need to do in order to be your best, tip-top shape for your next live event. This is true for everyone living the lifestyle of a highly successful event planner, whether you're the event host, event production team, or you're the event planner. For all of you, having the healthy habits of an event planner is really critical.

At SAGE Event Management, we do over 50 events a year, so you can do the math on that. It means our team is on the road a lot. And one of the things we really try and do is stay fit along the way, whether that's a bike ride together in a fun locale, going to the gym, or bringing a trainer in to do some exercises. And for you, you should really think about doing the same thing.

If You and Your Team Are Already Fit, Great. But if Not...

So here's the deal: if you're already super healthy and fit, meaning that you exercise all the time, and you eat really well, then you can put a check in this category and say "job well done." But if you're one of those people who really hasn't committed yourself to physical, mental, and healthy fitness, meaning eating healthy and staying well, and you're thinking of doing a live event, or you're a long-term live event producer, you know that this is one of the things you really should be focused on.

Implementing Your Fitness Program Into Your Routine

So this is not the kind of thing to embark on the day or week before your event, right? This should not be a surprise last-minute exercise. This is something you really want to commit to at least a quarter out if you can. At the very least, a month out. And that means eating at your healthiest, it means getting in some great exercise, it means yoga, meditation, something that can calm your mind. I really recommend getting outside like we are today if you possibly can. If you can combine being outside with getting physically and mentally fit, I promise you, ideas will start flowing. Not only will you feel better and think better, it'll clear your mind and really help you and your team implement the healthy habits of an event planner and get everyone ready for your live event.

What About the Diet Habits of Highly Successful Event Planners?

Think about only eating the healthiest foods. What you're putting into your body really matters. This is not a sprint. A live event, especially a three-day live event, is a marathon, and so you really want to think about, just like a marathon, it takes practice, it takes regimen, it takes discipline. You don't just get out there and go run a marathon. It's the same thing with a live event.

And I'll tell you, really quickly, one of the ways I most obviously know a first-time event host, is we get on-site and by the end of day one, you can tell, the lights are on, but nobody's home. They are exhausted, and the reason is, when you go out onto that stage, you are expending a ton of energy. Bringing your best self, holding a safe container for the audience, keeping them engaged, keeping yourself engaged and on top of your game. And you're also receiving a ton of energy, and you still have two more days to go, so the reality is you really want to be thinking about, "How can I be at my most calm and grounded state?"

A Funny Example of How to Ground Yourself (and Your Team)

If you're a fan of the show "Friends" like I am, there's an episode where they talk about unagi. And unagi is kind of a joke around our house and our office. We say that a lot and it is basically being in a state of calm, getting as grounded as you possibly can, so that no matter what comes your way, you are prepped and ready. And that's all part of implementing some of the habits of highly successful event planners.

And here's the thing, with a live event, you can be as prepared and ready, and have every detail nailed down, and think everything's within your control, and then, lo and behold, you get a curveball. And again, #eventlife, that is just the way it rolls. Those curveballs are so much easier to withstand if you are in your best physical, mental, and emotional place.

The Bottom Line

So just a quick recap, if you're getting ready for your live event, you really want to be thinking about, "How can you be your best self?" I don't want you to be somebody else, I want you to be your best you. It doesn't mean you have to become a weight trainer, it doesn't mean you have to become a marathoner, but I really want you to think about, what you can do, what really keeps your soul alive, what really clears your head?

Is it working out in the gym? Is it going to a Pilates class? Is it getting out on your bike? Is it taking a walk on a path? Is it going for a hike? All of those things are great ways to combine getting physically fit with being mentally fit and really being prepped and ready to bring your best self to your next live event while enjoying the lifestyle of an event planner. That's all for now.

Just one last thought: You can do this. Get out there and go for it!
